Privacy Notice
What we keep, why, and who else sees it.
This notice describes how JustSendTheCheck LLC, doing business as Just Send the Check, handles information about visitors, account holders, payees and people who contact us. It covers the website, account portal, APIs, connected-agent features, payments, check mailing and support. It does not control an independent AI agent, bank, payment wallet or other provider you use.
The short version
We collect information to process check instructions, payments and mailing, operate accounts, resolve problems and protect the service. We don't sell your information or share it for cross-context behavioral advertising. We do not run advertising trackers on this service. Authentication and payment providers use technologies necessary to operate their features.
What we collect
- Account and identity information. Name, email, account and authentication identifiers, connected-agent identifiers, and consent records. When you choose Google, Facebook or another supported sign-in provider, Clerk receives the profile information permitted by that connection, such as name, email and profile picture. We do not receive your social-account password.
- Your checks. Who you pay, their mailing address, the amount, what it's for, the request you gave your agent in your own words, and any invoice or bill you or your agent attached. If your agent sends us a link to a bill, we save a copy of that page.
- Your return address, if you choose to put your own on the envelope.
- Your agents. Which AI agents you connected, when, and what each one did.
- Payments and settlement. Amounts, fees, payment method category, processor references and tokens, payment and refund status, disputes, check numbers, bank-reported clearance and void information. Stripe or your wallet provider collects payment credentials; our application does not store full card numbers or your online-banking password. Bank records reviewed for a check investigation may contain financial information.
- Security and technical records. Sign-in and approval times, second-factor verification age, IP addresses, browser or user-agent information, request and error records, and events used to detect abuse and operate the service.
- Support and payee reports. Contact information, check references, correspondence, descriptions of problems and supporting documents provided by a sender, payee, bank or provider.
We receive information from you, agents you authorize, people who send or receive a check, sign-in and payment providers, mailing providers and banks. A payee can appear in our records without creating an account. An agent provides the request text and documents it submits; connecting it does not give us general access to your entire chat history or inbox.
Why
We use information to create and secure accounts; carry out and record instructions and consents; process funding payments, refunds and disputes; print, mail, track and reconcile checks; send receipts and service notices; answer support and privacy requests; investigate fraud, misuse and errors; maintain and troubleshoot the service; enforce lawful agreements; and meet applicable legal, accounting, tax and recordkeeping obligations.
We do not use your bills, check instructions or attachments to train a general-purpose AI model. Your chosen AI provider controls how it handles information in its own service; consult that provider's policies and settings. Payment and security providers may apply their own fraud and security analysis under their agreements.
Who else sees it
We disclose information reasonably needed for these purposes to the following recipients:
- Lob prints and mails checks (payee, address, amount, memo, return address).
- Stripe and supported wallet services process payments, bank verification, authorizations, refunds and disputes. An ACH payment can involve Stripe Financial Connections; an agent-wallet payment can involve Stripe Link.
- Clerk handles sign-in, including Google and Facebook sign-in.
- Resend sends our emails.
- Vercel and Neon host the site and the database.
- Banks and payment networks handle settlement, check presentation, voids, paid-item records, disputes and fraud investigations.
- Postal carriers and payees receive the information on checks, envelopes and related delivery records. A memo or return address may be visible to them.
- Authorized agents and applications can receive account information, saved payees, documents, check history, evidence and updates within the connection's permissions. Access may include earlier transactions.
- Professional advisers and authorities may receive information needed for legal advice, audits, compliance, valid legal process, protection of rights, or lawful investigation of suspected fraud.
Authorized personnel may access relevant records to operate the service and resolve issues. We may disclose information in a merger, financing, acquisition or transfer of the business, subject to applicable protections and this notice, or for a purpose you specifically request. We do not give unrelated parties unrestricted access to your account.
Providers may process information for their own purposes where their role and applicable law allow it. See Stripe's privacy policy, Clerk's privacy policy and the policies of the AI service you choose.
Cookies and similar technologies
The site and its authentication, payment and hosting providers use cookies or similar browser storage for sign-in, session security, preferences and fraud prevention. Blocking these technologies may prevent sign-in or payments. We do not use them for targeted advertising. Browser “Do Not Track” signals do not change necessary service operations. Where law requires recognition of an opt-out preference signal, we honor it for covered processing; we do not currently sell information or share it for behavioral advertising.
How long we keep it
We retain information for as long as reasonably necessary for the purposes described here, considering outstanding checks, refunds and disputes; legal retention periods; fraud prevention; and the need to establish or defend legal claims. Account preferences and saved payees generally remain while your account is active. Transaction, authorization, document and investigation records may need to remain after account closure. We do not treat a check's expiration as permission to erase its financial record.
When information is no longer needed and no legal hold applies, we delete it or deidentify it. Backup copies may remain until their normal replacement cycle and are protected while retained. A deletion request does not require alteration of records that must lawfully remain accurate. See deleting your data for the request process.
Your choices
- See your checks and connected agents on your account, and disconnect any agent at any time.
- Ask for access, a copy, a correction or deletion by emailing support@justsendthecheck.com or writing to the address below. Payees can make these requests too.
- Delete your account: see deleting your data.
Depending on your state and the law's applicability, you may have rights to know what information we process, obtain a portable copy, correct inaccuracies, delete information, limit certain uses of sensitive information, or opt out of covered sales, advertising sharing or profiling. We do not use personal information to make automated decisions producing legal or similarly significant effects of the kind covered by applicable state opt-out rights. These statements do not waive any right that applies to you.
We verify identity and authority using information reasonably needed for the request; we do not ask for your password. An authorized representative may contact us with evidence of authority, and we may also need to verify with you. We respond within the period required by applicable law and explain any denial or lawful extension. You may ask us to review a denial by replying with “Privacy appeal”; we will provide any applicable further complaint route. We do not unlawfully discriminate against you for exercising privacy rights.
Disconnecting an agent prevents future access through that connection but does not delete information it already received. Changing or deleting a social sign-in connection does not itself delete your service records. You may need to contact those providers separately.
Security
We use HTTPS, access controls, credential protection and transaction records to help secure information. Website approvals require a recent second factor; supported agent-wallet payments rely on the wallet provider's separate authorization. Security measures cannot eliminate every risk. Contact support promptly about suspected unauthorized access, and do not email passwords, verification codes or complete payment credentials.
Where processing happens
The Service is intended for U.S. residents. We and our providers process information in the United States and other locations where providers operate, subject to applicable transfer requirements. Laws in those locations may differ. This notice is not a representation that all information remains in one country.
Children
The service is for adults. We don't knowingly collect information from anyone under 18.
Changes
We identify updates by version and effective date. For a material change, we provide notice through email or the service before it takes effect, and obtain consent where required. We do not use a revised notice to retroactively authorize a materially different use of previously collected information where the law requires your consent.
